Help page for the PRC Registration Application
Government schools:
Go to the application and click on "login". Note that the application opens on Monday 21 March 2022 and can be logged into from that day onwards.
The login uses your normal DoE username and password.
All Prep to year 6 students enrolled in your school are already listed under the "Register" tab. (If you work in more than one Government school, the other school/s are under "Select School".)
- If you want to register all the students from Prep to Year 6, find "Register" in the column headings and mark the box before it. This will mark all students as registered. Then scroll to the bottom of the page and hit "Save".
- If you want to register all the students in particular year levels or home groups, select one "Year Level" or "Home Group" at a time from the drop down menu and find "Register" in the column headings then mark the box before it. This will mark all students in that year level or home group as registered. When you have finished registering the various year levels, scroll to the bottom of the page and hit "Save".
- If some students in a year level or home group are not taking part in the Challenge, you can de-select them by clicking on the check beside their name and saving.
- The application is also used to record students who have completed the Challenge - see "Recording students who have completed the Challenge" below.
Non-Government schools
Go to the application and click on "login". Note that the application opens on Monday 21 March 2022 and can be logged into from that day onwards.
"Login" will take you to a Department of Education login page. We will email your school's login details to your PRC School Coordinator. If you haven't received the login details by 1 April 2022, please email us at prc@education.tas.gov.au.
After logging in, you will need to upload information about the students you would like to register for the Challenge using the application's template.
- Click on the "Register" tab and hit the "Export or Get Template" button. Save the template document to your computer as a .csv file (not .xls or .xlsx) then fill in the columns.
- "StudentId" can be left blank.
- "PreferredName" is the student's name as it will be printed on their completion certificate at the end of the Challenge, for example Charlie Smith.
- "Gender" should be one of the following: Male, Female, Unspecified and is case-sensitive. Please ensure there is no blank space after the word you enter as this will result in an error message when you try to upload the document.
- "YearLevel" should be one of the following: PP, 1, 2, 3, 4, 5, 6.
Note that 01, 02, 03, 04, 05 and 06 will also be accepted by the application.
- When you save the document, hit the "Yes" option to the Microsoft Excel message box that pops up saying:
Some features in your workbook might be lost if you save it as CSV (Comma deliminted).
Do you want to keep using that format? - When you try to put the document away, using the x in the top right hand corner, another message will pop up asking whether you want to change your changes. Hit the "Don't Save" option (as you have already saved it).
- After saving the completed document to your computer, return to the application and "Browse" to find the document before hitting the "Import from CSV" button.
- Hit the "Save" button at the bottom of the page.
- You should see a green line pop up at the top of the page saying that the registration has been saved. The students you uploaded are now all registered for the Challenge. (You can check by logging out and back in again. If there are no names and you didn't receive any error messages, you may have forgotten to hit the save button.)
- If you get an error message about the gender and you have only used Male, Female or Unspecified, check that there are no blank spaces after any of the words and try again.
- The application is also used to record students who have completed the Challenge - see "Recording students who have completed the Challenge" below.
New enrolment/s at your school:
Government schools
- If a student enrols during the registration period, their name will automatically appear in the PRC Registration Application.
- If the student enrols after registration for the PRC has closed and the student wants to take part in the PRC, please let us know by emailing us at prc@education.tas.gov.au. Please include the name of the student's previous school (if known). We can then de-register the student from their previous school and register them at their new school.
Non-Government schools
- If a student enrols during the registration period, export the list of registrations, add the new student's information to the sheet and import it back into the PRC Registration Application. The student will then be registered.
- If the student enrols after registration for the PRC has closed and the student wants to take part in the PRC, please let us know by emailing us at prc@education.tas.gov.au. Please include the name of the student's previous school (if known). We can then de-register the student from their previous school and register them at their new school.
Recording students who have completed the Challenge:
As each student completes the Challenge by reading 10 books, their name can be checked off under the "Complete" tab. Classroom teachers can record their own students as all Government school teachers will be able to access the application and the PRC School Coordinator in non-Government schools may share their school's login detail with their colleagues.
Students may be found by selecting their year level (or home group for Government schools) from the drop down menu, then scrolling. Check the box beside their name and scroll to the bottom to hit the save button.
If a mistake is made and you need to change a student back to not having completed, de-select them by clicking in the checked box and saving.
Students marked as having completed the Challenge will receive an individually printed completion certificate from the Premier.
Application freezes:
If your internet browser freezes while using the application, the problem relates to your computer or browser. The following suggestions may overcome the problem:
- Log out of the application and clear your cookies and browser history before trying to log in again.
- For Internet Explorer, go to settings (the little cog symbol at top right)
- Select "Internet options" from the drop down menu
- Stay in the tab it opens to ("General")
- Under "Browsing History", select "Delete"
- Check that the first 4 options are ticked
- Click on the "Delete" button
- Then try to log into the application again.
- Try logging in with another internet browser such as Chrome or Firefox
- Try logging in using another computer (but not a mobile phone as the application is designed for use on a computer).
Exported file has dates in the "Home Group" column (Government schools only):
Home Groups are drawn from the department's central student database. If your school has entered the name of a home group into that database as two numbers with no letters, the downloaded file will automatically change the home group into a date.
This is a problem that we can't overcome, but hope you will be able to work with by 'reading' the month in the date as the corresponding number:
- 1-Jan is 1/2 or 1-2
- 2-Mar is 2/3 or 2-3
- 3-Apr is 3/4 or 3-4
- 4-May is 4/5 or 4-5
- 5-Jun is 5/6 or 5-6.
Incorrect information about a student:
- Government schools - Student information is drawn from the central student database and the name used in the application is "Preferred_name Surname" as this is how names will be printed on completion certificates at the end of the Challenge.
- Non-Government schools - The incorrect information was uploaded by your school. You need to "Export" the information, save it to your computer, make the change/s there, save it then go back to the PRC Registration Application. "Browse" to locate the saved document, "Import from CSV" and "Save". The new information will overwrite the old.
Mobile phone doesn't display the page properly:
The PRC registration application is designed to work on a computer screen. Please log in from a computer.
Student has left the school:
If a student who is registered for the PRC at your school leaves before they have been marked as completing the Challenge, you don't need to do anything. If they enrol at a new school and want to take part in the Challenge, their new school will contact us (see "New enrolment/s" above).
If a student who has been marked as having completed the Challenge at your school leaves, please email us at prc@education.tas.gov.au to let us know the student's new school. We will then be able to move them from your school to the new one so their completion certificate is sent to their new school.
